Executive Assistant

General Responsibilities
This role provides operational and administrative support to the Executive Vice President & CIO and team. This is a global organization and will be working with and coordinating meetings with staff members in other parts of the world. This role requires the ability to effectively manage multiple priorities, heavy administrative and project management volume and general business analyst responsibilities.
This role requires a versatile, self-starting, forward thinking person, who can work in an aggressive and results-oriented environment. The role requires high levels of accountability, aggressiveness, adaptability and maturity.
Operational Excellence :
Provide general administrative support including managing the VP and the teams schedule, preparing and distributing meeting and reporting materials, purchasing, order processing and records management. Coordination of travel arrangements including processing expense reports in a timely manner. Maintaining good relationships with internal and external contacts. Disseminates communication and information to all levels. Responds to inquiries and requests with a sense of urgency and strong customer service mindset.
Business Decision Support:
Ensures compliance with all policies and procedures. Manage special projects to ensure successful completion. Projects to include team communications, special events, performance reporting activities, business reviews and other service management and governance activities. Ensure necessary business controls are in place to support business goals. Prepare and support analysis tools as needed. Continually seek ways to develop and improve processes.
Reporting:
Responsible for all department correspondence, presentations, reports and communications. Managers, writes, and edits organizational communications. Manage all distribution lists for phone and e-mail.
Special Projects:
Manage special projects to ensure successful completion. Projects to include team communications, business reviews, employee recognition, etc.
Mandatory Requirements
Educational Background:
+ Bachelors in Business or IT related field is preferred
Knowledge/Skills:
+ 5 years previous Administrative Assistant experience of increasing responsibility
+ Ability to set priorities and multi-task
+ Ability to manage a paperless environment
+ Must have maturity and confidence to work with senior management
+ Must have demonstrated ability to handle multiple tasks simultaneously
+ Must have the ability to meet critical deadlines, keen attention to detail
+ Must have ability to plan, organize, develop, implement and interpret functional area programs, goals, policies and procedures.
+ Must demonstrate the ability to communicate effectively in both written and oral format with all internal and external contacts.
+ Must be able maintain the highest level of confidentiality and have the ability to handle sensitive material concerning the organization and the executive?s role.
+ Must possess in-depth knowledge of office systems including Lotus Notes, MS Office, Word, Excel, PowerPoint and use of internet.
+ Must possess exceptional organizational skills (scheduling, detail orientation, proactive follow-up and overall project management, multi-tasking).
+ Ability to confidently interface with executive management.
+ Risk Planning ? Embracing risks, identifying mitigating options and identifying opportunities.
+ Ability to handle pressure
+ Excellent computer skills ? Microsoft Office essential. Oracle experience desirable.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
